TRAVEL

The Venture Experiment Funds can subsidize some travel-related expenses (at the 80% rate), but there are special restrictions and guidelines outlined below, and these expense reimbursements come from your quarterly capped budget.  For ventures led by GSB students focused on social impact, the Center for Social Innovation's Impact Small Grant program, which has a separate application process and limited funds, may be able to provide additional travel funds for the sake of interviewing difficult-to-reach users.  Applications are handled on a case-by-case basis.

  • If you'd like to use Experiment Funds for any travel, you'll need to book it through Egencia, which is an official partner of Stanford.  You can find the Stanford-linked Egencia portal here or email stanford@customercare.egencia.com

  • As a condition of pre-approval, students will need to submit the PIF and Waiver Form. 

  • All pre-approval applications for travel need to be received at least 5 weeks in advance of the travel date, because the need to be vetted for risk mitigation by Stanford's Global Risk team

  • All flights need to be booked at least 4 weeks in advance of the travel date to be eligible for the 80% reimbursement rate.  Flights booked after this will only be eligible for a partial (50%) reimbursement rate.

  • Motto: Be scrappy, but be safe

  • All applications must include a rationale for why you need to go to this specific location.

  • # of people: no more than 2 team members

  • What do we cover:

    • Flight + Lodging

      • If your lodging totals over $150, please explain why. Our intention is for you to find low cost lodging to stretch these resources, and to ensure your travel arrangements prioritize your safety

  • How much of the trip must be spent on the project? (Also covers home country considerations):

    • We reimburse a % based on the % of the trip dedicated to your project

    • Example: 2 days out of 5 (or the equivalent of 16 hrs) spent on the project where travel expenses were $1000 = we will reimburse 40% of costs = $400 at 80% rate = $320.

  • We ask for a rough work plan of how you plan to spend their time

  • For trips over winter break:

    • Traveler must remain enrolled in the class in the Winter quarter. If you don’t continue to Winter quarter, you won’t be reimbursed
